Position: Executive Assistant
Location: Any Office Location (Vancouver, London, Toronto)  – Hybrid

Reports to: President & COO
Hours:  Part-time/Full-time

Role Overview

The Executive Assistant provides high-level administrative and strategic support to the President & COO and other members of the executive leadership team. This role requires exceptional discretion, strong judgment, and the ability to manage complex priorities in a fast-paced environment. The EA serves as a trusted partner, enabling executive focus on strategic and operational objectives.

Key Responsibilities

  • Manage complex calendars, scheduling, and meeting logistics for the President & COO and other executives
  • Coordinate executive and Board meetings, including agendas, materials, minutes, and action item tracking
  • Act as a key liaison between executives, internal teams, Board members, and external stakeholders
  • Prepare, review, and handle confidential correspondence, meeting minutes, reports, and presentations
  • Anticipate executive needs and proactively resolve scheduling, logistical, and administrative issues
  • Coordinate domestic and international travel and manage executive expenses
  • Support special projects and cross-functional initiatives as assigned
  • Maintain a high level of confidentiality and professionalism in all interactions

Qualifications

  • 5+ years of experience supporting senior executives (President, COO, CEO, or equivalent)
  • Excellent organizational, time-management, and communication skills
  • High level of discretion, professionalism, and sound judgment
  • Advanced proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)
  • Ability to work independently while managing multiple priorities

Compensation:

Based on qualifications of applicant pay grade may vary from $65,000 – $85,000
